Privacy Policy

Piano Heroes® is a trademark of Start Piano Studio, based in Ontario, Canada (“Piano Heroes”, “we”, “us”). This policy covers this website, pianoheroes.co, and the Piano Heroes Club app at club.pianoheroes.co. It describes what we actually collect. If something here is unclear, email info@pianoheroes.co.

Browsing this website

You can read the blog, browse the shop and view the books without an account.

No cookies and no analytics. This site sets no cookies, and it does not run Google Analytics or any other tracking script.
Server logs. The site is hosted on Cloudflare. Like any web host, Cloudflare processes your IP address and basic request details (browser type, page requested) to deliver pages and protect the site from abuse.
Embedded videos. Some pages include YouTube videos in YouTube’s privacy-enhanced mode (youtube-nocookie.com). When a page with a video loads, your browser contacts YouTube (Google), which receives your IP address. YouTube may set cookies once you play a video; its own privacy policy applies.
Links to other sites. Buttons such as “Buy on Amazon” or “Apple Books”, and links to Instagram or Pinterest, take you to those companies’ sites. We may earn a commission on Amazon purchases. Their privacy policies apply once you leave this site.

If you subscribe at /newsletter/, your name (optional) and email address are sent to MailerLite, the service that runs our mailing list. We ask you to confirm by email before you are added. We use the list only to send updates about new posts and products. Every email has an unsubscribe link, and you can also ask us to remove you.

Contacting us

If you email us, we receive your email address and whatever you choose to include, and we use it only to reply.

The Piano Heroes Club

The Club at club.pianoheroes.co is where teachers run their studio, assign games, and download printables with a subscription.

Sign-in is provided by Microsoft Entra External ID. When you create an account, Microsoft stores your email address, name and password; we never see your password. Sign-in pages at login.pianoheroes.co pass through Cloudflare on their way to Microsoft. Microsoft’s sign-in pages may set their own cookies.

What teachers enter

Studio and teacher details: studio name, contact email and phone number, and the names and email addresses of teachers in the studio.
Parents and guardians: a teacher may add a guardian’s name, email address and phone number, so the guardian can be invited to follow their child’s progress. The invitation is sent by email, either through Microsoft or through our email provider.
Students: a student’s name and level (for example, “Beginner”). We do not collect a student’s date of birth, address, photo, email address or any other contact detail.

What the app records

Game results: which games are assigned to a student, when they were completed, the score (accuracy), and the time taken.
In-app notifications: for example, “Ava completed Treble Clef Flashcards with 92% accuracy”, shown to the teacher or guardian. These are not emailed.

Children

Children use the Club through a teacher or through a parent or guardian’s account. They do not create accounts themselves, and we do not collect personal information directly from them. A student’s record is created by their teacher, and a teacher who adds a student is responsible for having the parent or guardian’s permission to do so. A parent or guardian can ask us at any time to see, correct or delete their child’s information.

Payments

Subscriptions are processed by Stripe. Card details go directly to Stripe and never reach our servers. We give Stripe your studio’s name and email address, and we keep Stripe’s customer and subscription references, the status of your subscription, and records of payment events (which can include your billing name, email and address) for our accounting.

Server logs

The Club’s servers record your IP address and the requests your browser makes, to keep the service secure and to troubleshoot problems.

Emails we send

Invitations to guardians a teacher has added.
Notices about your subscription, such as a failed payment.

We do not sell or rent email addresses and we do not use Club data for advertising.

In your browser

The Club app does not set cookies. It keeps your sign-in session in your browser’s local storage, and remembers small things such as which game you last opened in session storage. It also loads the Inter font from Google Fonts, so Google receives your IP address when the app loads.

Where your information is stored

Club data is stored on Microsoft Azure in the United States. Our service providers (Microsoft, Stripe, MailerLite, Cloudflare and Google) may process information in the United States and other countries. By using the site or the Club, you understand that your information may be processed outside your country, including outside Canada.

Only the service providers named in this policy, to run the site and the Club, and anyone we are required to share it with by law. Within the Club, a studio’s information is visible to that studio’s teachers, and a child’s assignments and results are visible to their teachers and to the guardian linked to that child.

How long we keep it

We keep Club information for as long as the studio’s account is active. When a teacher deletes a student, that student’s assignments and results are deleted with them; notifications that mention the student can be deleted by the teacher or guardian who received them, or by us on request. Some records, such as payment records, may be kept longer where the law requires it (for example, for tax purposes). Newsletter details are kept until you unsubscribe.

Your rights

Depending on where you live (for example, under Canada’s PIPEDA or the EU/UK GDPR), you can ask us to:

tell you what personal information we hold about you or your child, and give you a copy;
correct it;
delete it;
stop sending you emails.

Email info@pianoheroes.co. We will reply within 30 days. If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada or to your local data protection authority.

Security

All traffic to this site and to the Club is encrypted (HTTPS). Club data is stored in a database protected by a firewall and Microsoft Entra authentication, encrypted at rest by Microsoft Azure, and access within the Club is limited by role: teachers see their own studio, and guardians see their own children.

Changes to this policy

If we change how we handle personal information, we will update this page and its effective date. For significant changes affecting Club accounts, we will also tell account holders by email.
